Notice 41 of 2026 dated 24 August 2026, confirms an update to the eServices system that validates customer profiles and blocks duplicate contact details.

The system now checks whether the email address and the cellphone number being entered are already linked to another CIPC customer profile. This check runs during registration and during profile updates.

If you see an error saying the email address or cellphone number is already linked to another CIPC profile, you have to use a different email address or cellphone number that is not tied to another profile.

CIPC says the aim is to keep customer information accurate and to make sure contact details belong to one profile only. There is no deadline and no form to complete. The change is already live.

Why this matters for your practice

Plenty of small firms have run every client profile off one office mailbox and one cell number. That approach now runs out of road the moment you register a new profile or update an existing one.

It also collides with beneficial ownership filing. The OTP that confirms a BO submission goes to the contact details on the filer's profile, and the mandate authorising a filing must name the individual plus the mobile number and email address that will receive that pin. Shared or duplicated contact details make that chain messy at exactly the wrong moment.

What to do this week

  1. List every CIPC profile your practice touches and record which email address and cell number sits on each one.

  2. Where a client holds the profile, put the client's own email and cell number on it. That is where it belongs.

  3. Where your firm holds a profile, give each one a unique mailbox or alias and a contact number that is not shared with another profile.

  4. Warn staff before they hit the error. A blocked registration on a deadline day is an expensive surprise.

  5. Keep the contact details current. Wrong details do not just block registration, they stop the OTP that finalises a filing.
